Administrative Assistant, Compliance

General Purpose

As the Administrative Assistant for the Compliance Department, you will be responsible for providing efficient and effective administrative support to ensure the department’s smooth operation. In this role, you will become an integral part of the compliance team and play a vital role in calendaring meetings, organizing agendas, taking notes, and triaging incoming incident tickets. Moreover, you will be instrumental in implementing new procedures and ensuring compliance with our policies.

Duties & Responsibilities

  • Serve as the first point of contact for incoming compliance incident tickets; assess, prioritize, and route each case to the appropriate team member to ensure timely responses.
  • Schedule and manage the calendar for quarterly committee meetings, ensuring all participants are informed of upcoming events and any changes.
  • Attend meetings and take comprehensive notes, accurately capturing key points and action items.
  • Prepare and organize meeting agendas to ensure all relevant topics are covered.
  • Actively support the rollout of new procedures by participating in the development phase, providing feedback, and helping to implement these processes seamlessly within the organization.
  • Understand and follow company policies diligently, vigilantly identifying noncompliance issues and escalating them to the appropriate channels when necessary.

Qualifications

  • A high school diploma, associate degree, or higher is preferred.
  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and Virtual Meeting tools (Teams, Zoom, Google Meet, etc.)
  • Strong organizational skills with the ability to multitask
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Experience working in international relations, public policy, or political science environments.
  • Experience with contract management platforms such as Ironclad
  • Familiarity with compliance software (Drata) and compliance audits (SOC/HITRUST) is a plus.
